ISES-NCC Communications Calendar Proces
We implemented a Google calendar this year to keep track of our many emails to members, to ensure we're spreading out our communications and not bombarding our members. This is the process we created - which can use some improvement. We would love your input!
In addition, I asked HQ for their calendar, but they didn't have one. So, unfortunately, our emails still overlap with HQ's for the time being.
1) Decide on the topic of your email and your distribution list.
2) Review the available dates for emails on the ISES-NCC Communications Google Calendar. Keep in mind that it’s best not to send emails on Mondays or Fridays and try to send no more than two emails per week (three maximum).
3) Email the following people with your request for a specific date and time for your email:
a. President
b. President-Elect
c. VP of Communications
d. Executive Director
4) The VP of Communications will let you know what date your email will be sent.
5) Inform the VP of Communications of the following:
a. Are you able to compose the content for the email?
b. Do you know how to use Constant Contact?
c. If so, are you able to create the email in Constant Contact?
If yes to (a), (b) and (c):
1) Submit your contact for review at least one week before distribution date to the people listed above and your VP (if applicable).
2) Upon approval, create the email in Constant Contact with the approved content then send a test to the people listed above and your VP (if applicable) at least three days before distribution date.
3) Once the test has been approved, schedule your email blast within Constant Contact.
If yes to (a) and (b), but no to (c):
1) Submit your contact for review at least one week before distribution date to the people listed above and your VP (if applicable).
2) Request help to create the email in Constant Contact from the VP of Communications (or other appropriate board member) at least one week before distribution date.
3) The email creator will send a test to you and the people above at least three days before distribution date; ensure that you review ASAP.
4) The email creator will schedule the email blast within Constant Contact.
If yes to (a), but no to (b) and (c):
1) Request help with your content and provide all pertinent information for the VP of Communications (or other appropriate board member) to create your content at least one week before distribution date.
2) The email creator will send a test to you and the people above at least three days before distribution date; ensure that you review ASAP.
3) The email creator will schedule the email blast within Constant Contact.
